What do people need to know before they choose you?

Your customers need clear answers and an easy next step. We review the information they see, fix the gaps, and check what changes.

From a question to an enquiry

  • 01Missed-call WhatsApp reply
  • 02WhatsApp appointment booking
  • 03Reminders 24 hours and 2 hours before
  • 04No-show rebooking
  • 05Staff approval
01

The problem: patients call once, then call the next clinic.

A receptionist on another call, a busy OPD hour or a closed clinic at 9 pm all end the same way: the patient does not leave a message and books somewhere else. WhatsApp enquiries wait until someone has a free moment, and patients who booked last week forget to come. None of this needs more staff. It needs every call and message to get an immediate, useful reply and a clear way to book.

What it costs in India: from ₹39,999 setup, ₹4,999 a month.

There are two fixed setup scopes for one clinic location, both excluding GST. Starter (₹39,999) covers one phone number: missed-call WhatsApp reply, WhatsApp booking and reminders. Complete (₹47,999), which most clinics choose, adds no-show rebooking, after-hours answers and the daily report. The monthly fee of ₹4,999 covers monitoring, template changes, small adjustments and a monthly report. WhatsApp Business Platform message charges from Meta and your WhatsApp or telephony provider's fees are paid by the clinic directly, so you can see exactly what they cost. Multi-branch clinics and hospital-system integrations are quoted after a short call.

  • Starter: ₹39,999 one-time for one location and one phone number: missed-call WhatsApp reply, WhatsApp booking, reminders 24 hours and 2 hours before
  • Complete: ₹47,999 one-time: everything in Starter plus no-show rebooking, after-hours answers and the daily report
  • Monthly: ₹4,999 for either scope, excluding GST
  • Paid by the clinic directly: WhatsApp Business Platform message charges and phone-line or call-tracking fees
  • Typical go-live: two to three weeks, including WhatsApp template approval
03

What is included.

Everything below is in the Complete setup; Starter includes the first three items. Each is set up, tested with test patients and handed over with a short guide for the front desk.

  • Missed-call reply: when a call is not answered, the patient receives a WhatsApp message within seconds with a booking option and the clinic's hours
  • WhatsApp booking: patients choose a doctor, date and slot; the request lands in one list for the receptionist to confirm, or is confirmed automatically if you allow it
  • Reminders: WhatsApp reminders 24 hours and 2 hours before the appointment, with a reply option to confirm or reschedule
  • No-show follow-up: a polite message offering a new slot to patients who did not arrive
  • After-hours replies: answers to common questions such as timings, location and fees, using text the clinic approves
  • Daily report: missed calls recovered, bookings made, confirmations and no-shows
04

How it works, step by step.

The setup connects tools the clinic can keep using after handover.

  • 1. Your existing number stays. Missed calls are detected through a call-tracking or virtual-number service such as Exotel, MyOperator or Twilio
  • 2. Replies go through the official WhatsApp Business Platform, using message templates approved by Meta
  • 3. Bookings are written to Google Calendar, a Google Sheet or your practice software where it has an API
  • 4. The workflow runs on n8n, so every step is logged and can be changed without rebuilding
  • 5. Staff approve anything beyond simple acknowledgements, until you choose to automate more
05

What it does not do.

It does not give medical advice, read clinical records or replace the receptionist. Voice AI that answers calls in conversation is available as a separate option, quoted after a test call in your languages, because accents, noise and Hindi or Bengali mixes need testing before a clinic relies on it. Results depend on your call volume and how quickly staff confirm bookings, so no fixed percentage of recovered patients is promised.

06

Patient data.

The workflow carries only what is needed to book and remind: name, phone number, appointment time and a short reason. Clinical notes stay in your clinical system. Message templates and consent wording are agreed before launch, and the clinic decides which data-protection rules apply, including India's DPDP Act.

How much does an AI receptionist for a clinic cost in India?

Setup starts at ₹39,999 for one location and one phone number (missed-call WhatsApp reply, WhatsApp booking and reminders), or ₹47,999 with no-show rebooking, after-hours answers and a daily report. Support is ₹4,999 a month. All prices exclude GST. WhatsApp message charges and phone-line fees are paid directly to those providers.

Will it work with our existing clinic phone number?

Yes in most cases. Missed calls are detected through a call-tracking or virtual-number service connected to your number, so patients keep calling the number they know.

Can patients book appointments on WhatsApp?

Yes. Patients pick a doctor and slot on WhatsApp, and the request goes to your receptionist to confirm, or is confirmed automatically if you prefer.

How does it reduce no-shows?

Patients get WhatsApp reminders 24 hours and 2 hours before the appointment with an option to confirm or reschedule, and missed appointments get a message offering a new slot.

Does it answer calls with an AI voice?

Not in the standard setup. The standard setup replies to missed calls on WhatsApp. Conversational voice answering is a separate option, quoted after a test in your languages.

Do you work with clinics outside India?

Yes. Pricing for other countries is on the clinic workflow page in USD.
